Background:
Read more about Actions (Tasks) - Here.
The system allows every user in the organization to create actions.
Actions can only be created through the web interface (not through the application).
Admins and form managers can define the automatic creation of actions based on specific answers in the form.
Actions can be one-time or recurring - here.
Steps to Create an Action
1. Log into the System
-
Access the Web version of Vitre.
-
Select the Actions module.
2. Add a New Action
-
Click Add Action +.
3. Set Task Details
-
Title – a short, clear description of the action.
-
Project (optional) – select an existing project; in this case, the assignee must be an employee from that project.
-
Assignee – the user responsible for completing the action.
-
Status – default is Opened.
-
Due Date – target completion date.
-
Priority – urgency level (e.g., low, medium, high).
-
Created by – displayed automatically.
-
Closed by – displayed when the action is closed.
-
Tags – unlimited number can be added.
-
Form-based – choose whether closing the task requires completing a form.
-
If Yes – the action requires a form response for completion.
-
If No – the action can be closed without a form (One Click).
-
4. Link to Entities (Left side of the screen)
-
Gap Type
-
Employee
-
Equipment
-
Location
You can link an action to one or more entities (e.g., employee, location, equipment, defect type).
5. Reporting
The system allows the action creator to report an action that started and ended immediately, for example: “Fixed the leaking faucet.” This way, the action can be opened and closed in one step.
