Background:
The inspections module can manage the constant inspections and surveys in the organization. Inspections can ensure proper validity and meeting deadlines, previously defined by the organization, regulation, or law.
Inspections can be defined and performed on equipment and locations (see previous chapters).
The inspections can be defined at certain intervals, e.g. every day, every week, month, quarter and year. Also, it can be set in recurring intervals in time units, such as every 3 days, every 4 weeks or every 3 quarters.
These constant inspections are defined by admins for every equipment or location type (and not individually for a single equipment or location). From the moment of creating the equipment or location, the inspection is also defined as automatic.
Automatic inspections cannot be cancelled for a single equipment or location.
The lack of flexibility of the automatic inspections is to help you and the organization to meet quality goals. In case the need arises to create an action that is repetitive and flexible, it is possible to use recurring actions.
Module Abilities:
- It is possible to define multiple inspections for a specific equipment/location type. For example, checking air pressure for all extinguishers, checking oil for the packing machines every week.
- Inspections can be defined in a time period of a: day, week, month, quarter, year, and also in numerical intervals such as every 3 days, every 6 weeks, every 3 quarters and so on.
- When defining an automatic inspection for a type of equipment/location, the automatic inspections will be performed in two ways:
- Immediately for all the items of equipment/location of the same type.
- In the future for all the items of equipment/location of the same type.
- The inspection status for a certain equipment item or location can be:
- Pending
- Pass
- Pass with Condition
- Fail
- The system will “spread” automatic inspections for every relevant equipment/location item. At any given moment the inspection will be displayed in a single status.
- Every inspection interval (like day/month) creates a Check-point. E.g. Wednesday’s oil check, Thursday’s oil check, Friday’s oil check… etc.
- The inspection interval is also defined in a similar status to an inspection, with one addition; In case the check-point was not completed in the defined time frame, it will be automatically marked as "Missing". After this stage it is no longer accessible.
- Timing control of inspections can be defined in two ways:
1. Recurring: If an inspection interval is missed, it cannot be completed again.
2. Fix: If an inspection interval is missed, it can be completed later, and the system will not generate a new interval for the completion of the previous inspection point. - The validity of the inspection point can be extended in two ways:
- By Click: Manually on the application or web.
- By filling a form: the result of which can approve (Pass) or fail (Fail) the inspection points.
Process:
1. Create types of equipment or location items here.
2. If you want the inspection validity to be based on form submission, define the form.
3. Create types of automatic inspections- here.
4. Create equipment or location items as needed.
5. Existing items of the same type or new items created in this type will be updated in the list of automatic inspections.
